1. Introduction
This privacy policy explains how we collect and use your personal data when you use our site remoteretreat.co.uk, including when you buy from us, sign up for the free taster, or contact us.
By giving us your data, you confirm that you are at least 18 years old.
Tamsin Acheson Coaching & Consulting is the data controller and is responsible for your personal data (referred to as “we”, “us” or “our” in this policy).

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk. We would be grateful if you would contact us first so we can try to put things right.

2. What data we collect
Personal data means information that can identify you. It does not include anonymous data. We collect only what we need to run the retreats and the site:
• Order data: your name, email address, billing and delivery address, and what you bought. Card payments are handled by our payment provider, and we do not see or store your full card details. Our lawful ground is performing our contract with you.
• Communication data: anything you send us by email or through a form on our site, for example to cancel an order, raise a problem, or give feedback. Our lawful ground is our legitimate interest in replying, keeping records, and handling any legal claims.
• Marketing data: your email address and your contact preferences, where you have asked for the free taster or our updates. Our lawful ground is your consent, or our legitimate interest in telling existing customers about related retreats.
• Usage and technical data: information about how you use the site, collected through cookies and similar tools, such as your IP address, device and browser, and the pages you visit. Our lawful ground is our legitimate interest in running and protecting the site and understanding how it is used.
Sensitive data
We do not ask for or collect special category data, sometimes called sensitive data, such as information about your health, race, religion, sexual orientation, or political views. Although our retreats involve personal reflection, that work stays private to you and is not sent to us. Please do not include special category data when you contact us or complete a feedback form.
We do not carry out automated decision making or profiling.
3. How we collect your data
We collect your data in three ways. You give it to us directly, for example when you order, sign up for the taster, or email us. We collect some of it automatically as you use the site, through cookies and similar tools, which our cookie policy explains. And we receive some of it from the providers who help us run the site and take payment.
4. Marketing communications
We send marketing emails, such as the welcome sequence and occasional updates, where you have asked for the free taster or otherwise opted in, or where you have bought from us and have not opted out. Every marketing email includes an unsubscribe link. You can opt out at any time using that link or by emailing [email protected].
Opting out of marketing does not stop the emails we need to send you about something you have bought. We will always get your consent before sharing your data with any third party for their own marketing.
5. Who we share your data with
We share your data only where we need to, with:
• The providers who help us run the business, including GoHighLevel (which hosts our website, funnels, checkout, email and contact records), Stripe (which processes card payments), and Microsoft (which provides our email inbox).
• Professional advisers, such as our accountant, and if ever needed a lawyer or insurer.
• HM Revenue & Customs and other authorities, where the law requires us to report.
• Anyone we sell or transfer the business to.
We require everyone we share your data with to keep it secure and to use it only for the purposes we set and in line with the law.
6. Sending data outside the UK
Some of our providers are based outside the UK, including in the United States, so using them involves transferring your data outside the UK. Where we do this, we make sure your data is protected by a safeguard recognised under UK data protection law. In practice this means one of the following applies: the provider is certified under the UK Extension to the EU-US Data Privacy Framework, known as the UK-US data bridge; or we have an appropriate transfer agreement in place, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses; or the transfer is to a country the UK has decided gives an adequate level of protection.
7. Data security
We have put in place measures to protect your data from being accidentally lost, used, or accessed without authorisation. We limit access to those who need it, and they are bound to keep it confidential. We have procedures to deal with any suspected data breach, and we will notify you and the ICO where we are legally required to do so.
8. How long we keep your data
We keep your data only as long as we need it. By law we keep basic records about our customers, including order and transaction data, for six years to meet tax and accounting rules. We keep marketing data until you unsubscribe, and for a short period afterwards so we can honour your opt-out. Where we no longer need data that identifies you, we may anonymise it and keep it for statistical purposes.
9. Your rights
Under UK data protection law you have the right to ask us to:
• give you access to the personal data we hold about you
• correct data that is wrong or incomplete
• erase your data in certain circumstances
• stop or restrict our use of your data in certain circumstances
• transfer your data to another provider
• withdraw your consent, where we are relying on it
To exercise any of these rights, email [email protected]. You will not normally pay a fee. We may need to confirm your identity before we act, as a security measure. We try to respond within one month, and we will let you know if a complex request needs longer.
10. Third-party links
Our site may link to other websites and services that we do not control. We are not responsible for their privacy practices, so we encourage you to read the privacy policy of any site you visit.
11. Cookies
